ServiceNow is currently seeking a Facilities Manager to manage our existing property from a facilities management perspective across EMEA, including rent reviews, contract renewals, break clauses to ensure that company proactively manages these contracts and negotiates the best terms possible.

 

The successful candidate will work with the business to determine future property requirements and to work with company appointed property agents to find suitable premises to meet the company’s growth plans.

 

RESPONSIBILITIES:

 

  • To manage the local Facilities team including front of house in multiple locations
  • To actively assist the International Real Estate & Facilities Manager with Ad-Hoc projects
  • Facilitate all office moves, including consultation with managers and staff, space planning and floor design, co-ordinate activities with third party suppliers and internal IT to ensure that the move goes to plan and is within budget.
  • Manage all maintenance contracts for the building including, office cleaning, air conditioning, and general maintenance, to ensure quality of service and cost efficiencies.
  • To ensure that the company provides a safe environment for its employees by ensuring that management and employees are aware of their responsibilities in relation to Heath and safety, fire safety and accident management. To provide training to employees and new hires as and when required.
  • To be responsible for the following:

- Health and Safety Policy

            - Accident management, First aiders

            - Fire and safety, evacuation procedures, fire wardens

            - Manage Portable Appliance Testing (UK)

            - Risk assessments

            - Workstation assessments (ergonomic)

            - Financial reporting

            - Assist in lease administration

            - Workplace utilization

            - Creating and maintaining area seats and butts reports on periodical basis.

  • To identify and maintain arrangements with suppliers of service such as taxis, couriers, cleaning, etc. and liaise with local procurement team to align process and procedures.
  • To be responsible for the front of house and to ensure that appropriate security measures are in place and that visitor management is handled professionally. To also be responsible for all incoming calls and to ensure that calls are transferred promptly.
  • To manage the contract renewal process and to make recommendation for service and cost improvement.

 

EXPERIENCE REQUIRED:

 

  • Experience and understand fast moving and high pressure organizations
  • Experience 3-5 years in a supervisory role in Facilities Management
  • Experience with 3rd party vendors, including tender, negotiation and management
  • Experience with Health and Safety legislation, risk assessments and Accident Management
  • Experience managing reception desks and direct line management of Office Administrators
